EcoFair Policies and Procedures

  • Unless other arrangements have been made, all exhibits and presentations will be allotted a 10’ wide x 10’ deep space, with adequate space for social distancing as necessary. Requests regarding placement will be considered but cannot be guaranteed.
  • Pre-event unloading will take place 9:00-11:30am on May 14, and post-event breakdown and loading will take place 5:00-6:00pm. We ask that you quickly unload in the designated zone and then relocate your vehicle. Between 11:30am and 5:00pm, vendor vehicles must be relocated to the downtown parking garage or neighborhood streets where parking is permitted. Vendors are encouraged to leave parking spots adjacent to the Center Lawn lot for fairgoers.
  • All participants must supply their own tent, tables, chairs, and any other necessary setup items. If using electricity, this includes their own electrical strips and 100’ extension cords. Please be sure to request electricity when you fill out your participant application.
  • One black tablecloth per booth plus mats to cover extension cords will be provided, thanks to event sponsor High Country Linen Service.
  • Food and beverage vendors not serving out of food trucks must supply and set up/break down their own 10×10’ pop-up tents, which will be located on the west side of Caches St. facing the Center Lawn. An event layout diagram designating exact setup parameters will be provided approximately a week prior to the event. Please make sure that any special space or setup requirements are outlined in your participant application. You may contact event director Virginia Symons with any additional questions.
  • All food vendors cooking onsite MUST supply their own fire extinguishers. Those cooking with an open flame need to make special arrangements with event director Virginia Symons. Electric burners, small sternos and crock pots are permitted under pop-up tents tagged with flame propagation requirements that meet IFC 2404.2 or NFPA 701 criteria. Questions about this requirement?   • Food products, pre-made or made onsite at EcoFair, require temporary food permits from Teton County Environment Health (307-732-8490). Individual food vendors are responsible for procuring permits 14 days or more in advance of EcoFair. Food vendors without permits will not be eligible to participate in EcoFair. Teton County Environment Health will be inspecting booths at the event, and any vendor without proper permitting will be required to close his/her booth. Please note that EcoFair will allow food vendors to sign up after the deadline for procuring a temporary food permit – it is your responsibility as a food vendor to be aware of this deadline.
  • EcoFair works with a zero waste model, and will supply all food vendors with reusable plates on which to serve, as well as reusable cutlery and napkins. The EcoFair “Green Team” will be responsible for assisting fairgoers in appropriately placing reusables when they are finished with them, and restocking food vendors. All EcoFair food and beverage vendors must discuss pricing structure with event director Virginia Symons prior to the event. While we strive to make sure that we are able to accommodate all food vendor needs, it is recommended that food and vendors must be prepared with backup plates and utensils. All disposable plates, napkins, and cutlery MUST be eco-friendly (i.e. reusable, recycled content, or compostable).
  • The sale or free distribution of disposable plastic water bottles or single-use plastic of any kind at Eco-Fair is prohibited. The event promotes “BYO Water Bottle” and “BYO Beer Mug” as a part of the zero waste model. There are no disposable cups or other single use plastics at EcoFair – reusable cups will be provided for fairgoers who have not brought their own water bottle or mug.
  • Booths conducting retail sales are responsible for submitting sales tax on EcoFair revenue to the State of Wyoming.
  • Booths are expected to remain open until the event ends at 5:00pm. Early take-down may adversely affect a vendor’s 2023 EcoFair booth application.
